CRM Options Overview for “Extensions Forms” (Administrator’s Guide)

Options on this tab control all of the settings on all of the pages of the following Extensions forms:

Each option has a “tool tip” that contains a brief description of option’s settings and usage.  This tool tip is displayed at the top of the Options window when the Option’s row is clicked in the “Value(s)” column. 

Additional Options information for Administrator’s and CRM system implementers is contained in the section below for each option.

Options Descriptions

Description: Droplist contents for the 'Custom Actions' droplist on all CRM Extensions forms. If one of the built in tags (Attach Item shortcut, Attach Item, Phone Call, Next Action, Follow-on, Billable or Personal, etc.) is used then special built in processing occurs. You may also optionally add one of 3 control tags (Copy Notes, No Notes and Blank) to override the typical behavior of the 'built in tags'. If other text is use within the parens then the Journal/Task/Appointment Types are set to the text value. The only valid text values before the parens are: E-mail, Journal, Task, Meeting, Dial, Opportunity, Project, Copy, WorkFlow. Text in Parens, and the Parens are optional. Admin Note: This default list of Custom Actions is illustrative but should be reduced to just the items that your users will be using in your business / operational environment (you can always Right-Click/Restore this list.)

All of the items listed in the "Default Value" section above are a subset of the currently available "Possible Values". Additional items that may be used as "Custom Actions" are:

  • View Notes: When any of the above "View" functions are used as "Custom Actions" they perform exactly the same function as the corresponding "CRM / View" menu function. So why also have the "View" functions on the "Custom Actions" list? While, yes, this is duplicate functionality on the "CRM" menu, the "View" menu is not accessible on any of the Extensions forms but the list of "Custom Actions" are on each form, which makes this a VERY handy and quick way to, for example, display a list of all "Appointments" for a contact when you are looking at the Contact's form... The most handy are "View (Tasks)" and "View (Appointments)"...

  • Dial (phone number name)

  • Dial Notes: The "Dial" function is very handy for auto-dialing your Contact's phone numbers using the built-in Outlook phone dialer. These Extensions "Custom Actions" integrate the standard Outlook phone dialer witht the CRM Contact's phone numbers. If you are frequently dialing your contact's phone numbers you will find that these "Dialer" functions give you quick and error free dialing (eliminating the frustration of misdialed numbers).

    There are 18 different phone numbers available in Microsoft Outlook. Any of the names of the standard Outlook phone numbers may be used with the "Dial" function.

The maximum number of "Custom Actions" that can be displayed on the "CRM" menu is 36. All "Custom Actions" will, however, be displayed in the droplist for "Custom Actions" on each of the Extensions forms.

Usage Notes: In general the "Custom Actions" function is used to create new CRM items for an CRM Contact. The item that is created is identified by the first word of each "Custom Action" (i.e. "Journal" will create an CRM Journal). After the first word is a "tag" that is enclosed in parenthesis. This tag tells the Extensions processor that you want a specific kind of new item. Please see below in this section for a description of each of the available tags.

When using "Custom Actions" from the CRM menu this may be done in 2 different ways:

  • "For Selected Item(s) in folder", will first look at each of the currently selected folder items to determine if it is linked or related in some way (i.e. E-mail from a contact) to one of your CRM contacts. If a contact is found, then, the "Custom Action" function is performed for that contact. You could go to and open the same contact and use the "Custom Actions" function on the Contact form, however, using this function from the CRM menu greatly speeds up the process and eliminates the need to open a form. Let the Extensions find the linked contact for you and perform any of these "Custom Actions" functions all with ONE CLICK!.

  • "For the Active Contact", will perform any of the "Custom Actions" functions for the current CRM "Active Contact". For creating simple Journal, Task and Appointment items we recommend using the normal CRM functions, however, many Extensions users find "Custom Actions" so valuable that they want the available whenever possible, so we have included all of them for the Active Contact as well. For example: you may launch the Outlook phone dialer for the Active Contact with one click, or create a new Opportunity with one click... use "Custom Actions" for a while and you too will appreciate their simplicity and efficiency.

  • The list of "Custom Actions" is the same for each of the above, the only difference is the Contact they are launched for.

All "Custom Actions" are also available on each of the Extensions forms so that your "Custom Actions" are never more than one click away. "Custom Actions" always operate for the Contact they are on or, in the case of Journals, Tasks, Appointments, Opportunities, Projects, Portfolios they will operate for the linked CRM Contact.
When "Custom Actions" are launched from a Company form they will operate for the "Primary Contact" that has been identified and linked to the Company.

Custom Action Definitions

Dial Launches the standard Microsoft Outlook phone dialer. All of the Contacts phone numbers will be loaded into the Dialer for quick reference. The number displayed in the dialer (default) will be the number identified by the "Tag" for the "Custom Action". For example: Dial (Business) will launch the dialer with the Contact's Business phone number displayed.
Opportunity Creates a new CRM Extensions Opportunity for the specified Contact. If a "Tag" is included then the new Opportunity will be modified according to the Tag (see "Tag Definitions" below).
Project Creates a new CRM Extensions Project for the specified Contact. If a "Tag" is included then the new Project will be modified according to the Tag (see "Tag Definitions" below).
View Executes the CRM "View" menu function as specified by the "Tag". For example: "View (Appointments)" will display a list of all of the Appointments for the specified Contact sorted in Date order. The list has check boxes so that you can view more than one Appointment by clicking multiple boxes.

Please see the description of the CRM View menu for additional information on each of the "View" menu items.

When displayed on the CRM menu this Custom Action is redundant with the "View" menu selections.  "View" Custom Actions are available so that you may also have the "View" menu functionality on all of the Extensions forms.

Copy this Item Creates a copy of the specified item. When this "Custom Action" is launched from an Extensions form it will create a copy of the item (form) it was launched from.

When a new Contact is created all of the data in the first Contact is copied to the new copy but the Name, E-mail addresses, Business Phone and Mobile Phone values are blanked out to assist in making sure the data for your new Contact is correct.

When a new Journal, Task, Appointment, Opportunity, Project, WorkFlow are created all of the data in the original item is copied to the new copy and the user is prompted to identify the Contact that the new Journal is to be linked to (to avoid duplicate Journal's for the same Contact).
E-mail Creates a new CRM Extensions Journal for the specified Contact. If a "Tag" is included then the new Journal will be modified according to the Tag (see "Tag Definitions" below).
Journal Creates a new CRM Extensions Journal for the specified Contact. If a "Tag" is included then the new Journal will be modified according to the Tag (see "Tag Definitions" below).

You may also use any of the CRM "Actions" or any of the standard Outlook Journal "Entry Type" values as a tag for a Journal. If the specified tag is identical (case sensitive) to an CRM "Action" or Journal "Entry Type" then the "Entry Type" of the Journal that is created will be set to the text of the tag. Example: Journal (Lead Followup)

Task Creates a new CRM Extensions Task for the specified Contact. If a "Tag" is included then the new Task will be modified according to the Tag (see "Tag Definitions" below).
Meeting Creates a new CRM Extensions Appointment for the specified Contact. If a "Tag" is included then the new Appointment will be modified according to the Tag (see "Tag Definitions" below).
Workflow Creates a new CRM Extensions WorkFlow for the specified Contact. If a "Tag" is included then the new WorkFlow will be modified according to the Tag (see "Tag Definitions" below). WorkFlow items are supported by TeamScope's TeamWork workflow product. TeamWork is completely based within Microsoft Outlook.

Tag Name Description

Custom Actions

Phone Number Name This tag value is used to specify which of the 18 different standard Outlook phone numbers is to be displayed in the Outlook phone dialer when this Custom Action is selected. This list is avalable in the phone droplist on any Outlook Contact from. This tag may be any of the Phone number names spelled exactly as they appear in the droplist. Dial
View menu names See the CRM "View" menu for a list of the available views that may be used here. Any "View" menu item may be used as a tag for the "View" Custom Action. Example: View (Contacts at Same Company). View
Phone Call Specifies that the created Item (Journal, Task or Meeting) will be setup as a "Phone Call" item. The text "[Phone Call]" will be placed at the end of the Subject of the created item. This is most significant for use in creating Journals which will also set the "Entry Type" of the Journal to be "Phone Call". Journal, Task, Meeting
Next Action The "Next Action" tag is a very handy one if you are actively using the "Next Action" field to track what the next action should be for each of your contacts. When used to create a Journal, Task or Appointment/Meeting this tag will append to the Subject the Contact's current "Next Action" value and also the "Next Action Date". For Tasks the "Due Date" will be set to the "Next Action Date" and for Appointments the "Start Date" will be set to "Next Action Date". This is a very quick and handy way to create Tasks, Appointments and Journals for the "Next Action". Journal, Task, Meeting
Next Action No Reminder Same as "Next Action" above except the Outlook Reminder will not be turned on. This is only applicable if your CRM Task or Calendar folders are pointed to / using your personal Task or Calendar folder. Journal, Task, Meeting (when CRM is pointed to your personal folders)
Follow-on Often a Task or Meeting necessitates another "Follow-on" Task or Meeting. In this case it is nice to have Follow-on Task/Meeting marked as "Follow-on" and to copy the notes from the previous Task/Meeting into the notes for the new Follow-on Task/Meeting. This is what the "Follow-on" tag does for you. The text "Follow-on" will be appended to the Subject of the new "Follow-on" Task/Meeting. Multiple Follow-on items will be noted by "Follow-on2" for the third Follow-on of the same Task/Meeting. Task, Meeting
Billable The Billable tag will create a Journal with the "Billable Item" checked which will also turn the Journal timer on when the Journal is displayed. Journal
Copy Notes On each of the "CRM Functions" tabs there is a "Copy Notes" checkbox next to the "Custom Actions" function. This tag will override the setting of this checkbox and always copy the notes of the current item into the notes of the item that the "Custom Action" is to create.

This function is also handy when using a "Custom Action" from the "CRM" menu (where you can't see how the "Copy Notes" checkbox is set since the item the Custom Action is operating for is not open).
E-mail, Journal, Task, Meeting, Opportunity, Project
No Notes Same as "Copy Notes" above except that the notes are NOT copied. E-mail, Journal, Task, Meeting, Opportunity, Project
Blank Items with this tag will be created with a blank Subject and Notes fields.

The user's Outlook signature (if any) is not removed.

Personal Using the "Personal" tag will create the item in your corresponding personal Outlook folder. Example: Meeting (Personal) will create the meeting on your personal Outlook Calendar. Journal, Task, Meeting
Selected E-mail
 
This tag requires that the selected folder item be any of the different types of email (normal email, meeting invite, task request, etc.). This tag has different behaviors depending on where the Custom Action was launched from. From the "CRM" menue it could be for the "Selected Folder Item(s) or the Active Contact... or... it could be from one of the Extensions forms (Contact, Journal, Task, Opportunity, etc).

CRM Menu / Selected Folder Item(s) is perhaps the most useful and powerful. You may have any number of items highlighted and this function will create a separate Journal item for each on and the Journal will be linked to the sender's contact record. This is done completely independently of who the current CRM "Active Contact" is.

The CRM menu / Active Contact / Custom Action and the Custom Actions on the Extensions forms operate the same as each other. Still very useful but slightly different than the "Selected Folder Item(s)" version. This will create a Journal for the first selected E-mail but will always Journal it (link the Journal to) the Active Contact (or the when launched from an Extensions form, the primary contact linked to the form). This can be very useful when you want to Journal an email to a contact that did not send the email to you.  Note: if multiple E-mails are selected only the first one will be Journaled with this function.

In all the above cases (and all Extensions Journaling of E-mail), the Journal "Notes" field will contain the text of the email AND the original E-mail will be added to the Journal as an attachment. If the E-mail had attachments they will still be there in the E-mail that is embedded as an attachment in the Journal. This way you never loose that email and you have an original copy.
Journal
Selected E-mail to Project This has much the same behavior as the "Selected E-mail" tag above. The selected E-mail may now be Journaled directly to a project in one step. The user will be prompted to select the Project (or Opportunity) that the Journal is to be linked to. The Journal will also be linked to the Contact and Company of the Project/Opportunity.

The Project/Opportunity selection dialog is very flexible allowing the user to use many different filtering options to quickly get to the Project/Opportunity to Journal the E-mail for.

As with all Extensions Journaling of E-mail the E-mail message will be embedded (preserved) into the Journal (in its entirety, attachments and all) as an attachment.

Same as "Selected E-mail to Project" above Journal
Reply To Selected E-mail You may now reply to any selected E-mail without changing the CRM "Active Contact"... The E-mail that is created by this Custom Action will be a reply to the selected item(s)... and... the reply E-mail will be Journaled to the Contact that sent the selected item... and a copy of the reply E-mail will be embedded as an attachment in the Journal. The Journal is created at the time the Reply is sent. This function is not affected by who the Active Contact is when the E-mail is sent... this function is completely independent of the CRM "Active Contact".

Which Contact the Reply E-mail will be addressed to uses the following rules:
  1. When launched from the "CRM" menu for "Selected Folder Item(s)" the Reply E-mail will be addressed to and Journaled to the Contact that sent you the selected E-mail.

  2. When launched from the "CRM" menu for "Active Contact" the Reply E-mail will be addressed to and Journaled to the Active Contact.
    Similiarly, when launched from a form, the Reply E-mail will be addressed to and Journaled to the Contact the form is linked to (the Contact if launched from a Contact).

Creative use of these rules can be very productive to quickly process and manage your E-mail.

Attach Item shortcut
 
Attach a shortcut to the Item that the Custom Action was launched from into the item that is created by this Custom Action. The text of this tag ("Attach Item shortcut") may be placed within the parens surrounding the tag or at the end of the Custom Action.

This tag may be combined with any of the other tags.
All Custom Actions that create items
Attach Item Attach the Item that the Custom Action was launched from into the item that is created by this Custom Action. The text of this tag ("Attach Item shortcut") may be placed within the parens surrounding the tag or at the end of the Custom Action.

Email2 By default an E-mail in CRM when created is addressed to the Contact's first E-mail address. This tag provides for creating an E-mail that is addressed to the Contact's 2nd E-mail address. One click and you will have an E-mail to the Contact's second E-mail address and the E-mail will be Journaled to that Contact. E-mail
Email3 Same as "Email2" above except using the 3rd E-mail address of the Contact. E-mail
EmailAll Same as "Email2" above except using ALL of the E-mail addresses of the Contact. Any and all of the Contact's E-mail addresses will appear in the "To" line of the E-mail that is created. This E-mail will also be Journaled to the same Contact. E-mail
Workflow Name The TeamScope Software company has another Outlook based product called TeamWork. This is a very flexible and very strong product for managing, processing and supporting workflows within your organization. Just like CRM, TeamWork stores the workflow data in the Exchange Public Folders and the user interface is completely within Microsoft Outlook.

TeamWork is a beautiful solution for the typical tracking, ordering, processing, approval routing types of processes commonly found in today's workplace.

This tag provides for
Creating any of your TeamWork workflow items right from within CRM The workflow item will be linked to the CRM Contact.
You can view/open any and all of the workflow items for a Contact on the Contact's "Data Views" tab.
Specify an Outlook folder View for the TeamWork workflow folder to display the desired workflow data (right on the Extensions Contact form).

Each Workflow folder is identified to CRM through the CRM Options Manager on the "Extensions General" tab. The "Data Views Other Folders" option provides for specifing the Workflow name, the folder path and the default view to be used in the Data Views grid when the folder is selected. Together these provide a complete link between CRM and the TeamWork workflow product.

Track support tickets, Order supplies, route documents for review and approval... anyone with Microsoft Office connected to your Exchange server can participate in the workflow.

WorkFlow

Admin Notes: The maximum number of "Custom Actions" that can be displayed on the "CRM" menu is 36. All "Custom Actions" will, however, be displayed in the droplist for "Custom Actions" on each of the Extensions forms.

The Extensions installation process includes all of the Default Values listed above. The value of each of the different "Custom Actions" will vary for each company's use of CRM, so it is expected that the CRM admin will adjust the list (using the CRM Options manager, pictured above, to add / remove as appropriate to match their company's usage requirements.

You may want to start with a reduced list of "Custom Actions" to simplify the learning curve for your new users and then after they have been using CRM for a week or two then send them the reference to this page so that they can review all "Custom Actions" that are available and request that some be added for them to try out.

Description: CRM Extensions Contact 'Custom Actions' will often include some additional text in the Subject of the item created by the Action (ex. [Next Action: Follow-up sales call, Date: 5/19/02]). This option entry is to specify the 2 characters to enclose this text within. In this example the default value of '[' and ']' are used. If this option is blank then no additional text is added to the subject of the new item except in the case when a Task is created and then then new Task Subject will still contain the Full Name (Company Name) of the Contact the Task was created for.

Description: Droplist of URL strings that correspond on a one-to-one basis with the 'Contact External Functions' droplist values. When the user selects a ‘Contact External Function’ droplist item and then clicks the ‘Go’ button, then the corresponding ‘Contact External Functions Links’ string is retrieved, then processed for CRM field substitutions and then executed as a URL in the MS Internet Explorer brower (launching web pages, ASP pages, etc.), or passed to the appropriate MS Office application (ie. Word, Excel, PowerPoint, Access, open Word/Excel documents, text files, etc.). Note: if the link text displays as a blue hyperlink then you must break the hyperlink formatting by putting a space after the colon (ex http: //www.website.com).

Description: Keeping track of the "Next Action" (NA) and "Next Action Date" (NAD) can be critical for successful sales or customer intereaction. The primary values for NA/NAD are stored in the Contact item. The Extensions also provides NA/NAD fields on the "Child" (Journal/Task/Appt/Opportunity) forms. Each of these "Child" forms also have an "Update" button so that when the NA/NAD values are changed on the "Child" form the user can easily (manually) update the primary(master) NA/NAD values in the Contact item. When this option is set to "Yes" then, anytime the NA/NAD values are changed in the "Child" forms then the NA/NAD fields in the associated Contact item will automatically be updated with the same value, thus keeping the Contact NA/NAD values always up to date automatically. This function does not apply to the Company form.

Description: Background color value for the Task form ‘CRM Functions’ title banner. The purpose for this color banner is to help users quickly have a visual distinction between the Extensions Task and Journal forms (both are very similar for ease of use). If no value is given then the Outlook default is used. Color value formats must be in the vbScript 'hex' format of (&&H009de3a6), don't use the parens. These Color values are most easily obtained by editing an Outlook form, right click on the background and select 'Advanced Properties'. Then experiment with different custom colors for the 'Backcolor' property. The hex value will be displayed for your custom color, use it here.

Description: Background color value for the Appointment form ‘CRM Functions’ title banner. The purpose for this color banner is to help users quickly have a visual distinction between the Extensions Appointment and Journal forms (both are very similar for ease of use). If no value is given then the Outlook default is used. Color value formats must be in the vbScript 'hex' format of (&&H009de3a6), don't use the parens. These Color values are most easily obtained by editing an Outlook form, right click on the background and select 'Advanced Properties'. Then experiment with different custom colors for the 'Backcolor' property. The hex value will be displayed for your custom color, use it here.
